What DataFlow, DHA, SCFHS and QCHP actually check in an experience certificate — mandatory fields (dates, designation, unit, bed count, licence number), letterhead and signatory rules, how to handle multiple employers, closed hospitals, part-time work and internships, plus a copy-ready template and rejection fixes.

The experience certificate is the document most likely to sink a GCC application — not because candidates lack experience, but because the letter does not say what the authority needs it to say. DataFlow verifies it word for word with the issuing hospital, and the authority then reads it against the experience rule for your title. This guide gives you the exact format that passes.

What the authorities are checking

  1. Duration — does the post-registration experience meet the requirement (typically 2 years, continuous or cumulative)?
  2. Recency — is the experience recent (most authorities want practice within the last 2 years)?
  3. Scope — was it clinical, in your profession, at your claimed level (e.g. Registered Nurse, not nursing assistant; Specialist, not resident)?
  4. Setting — a licensed hospital or clinic of adequate size (bed count matters for nurses and doctors).
  5. Verifiability — DataFlow must be able to contact the issuer and receive confirmation.

Mandatory fields

Every experience certificate should contain all of the following. A missing item is the most common cause of a “document insufficient” notice.

  • Hospital/clinic official letterhead with full address, phone, email and website
  • Facility licence / registration number (and bed capacity for hospitals)
  • Your full name exactly as on your passport
  • Designation / job title (Registered Nurse, Staff Nurse, Medical Officer, Specialist Registrar, Pharmacist…)
  • Department / unit (ICU, ER, Medical Ward, OPD Pharmacy…)
  • Exact start and end dates (day, month, year) — “from 03 January 2022 to 15 March 2024”
  • Employment type — full-time / part-time with hours per week
  • Nature of duties — 2–4 lines describing clinical responsibilities
  • Statement of conduct — “no disciplinary action” if the facility will state it
  • Name, designation, signature and stamp of the signatory — HR Manager, Medical Director or Nursing Director
  • Date of issue and a reference number

Situations that need special handling

Multiple employers

One certificate per employer. Authorities add up cumulative experience; gaps between jobs are fine as long as total post-registration experience meets the rule and the most recent job is recent.

Currently employed

Ask for a certificate stating “from [date] to date / currently employed”. DataFlow verifies present employment; a letter with an end date in the future is rejected.

Internship, housemanship, NYSC, bond service

Internship is not counted as experience by any authority. Post-registration compulsory service (NYSC clinical posting, government bond) usually is, if the letter shows a clinical designation and registration was held during the period.

Part-time or locum work

Accepted pro rata by most authorities if hours per week are stated; below ~20 hours/week it is often discounted. Get the hours on the letter.

Hospital closed or unreachable

DataFlow will mark the document “unable to verify”. Alternatives: a letter from the successor institution or health ministry confirming employment records, payslips plus a statutory declaration, or dropping that period if you still meet the requirement without it.

Private clinic experience

Accepted only if the clinic holds a licence number and can be verified. Small unlicensed practices are routinely rejected — supplement with hospital experience.

Agency or outsourced staff

The certificate should come from the hospital where you worked, countersigned or supported by the agency contract if HR insists the agency is the employer.

Frequently asked questions

Does internship count as experience for DHA or SCFHS?

No. Internship, house job and housemanship are excluded by every GCC authority. Only employment after professional registration counts.

Who should sign the experience certificate?

The HR Manager, Medical Director or Director of Nursing on official letterhead with a stamp. Letters signed by a ward in-charge or supervisor are usually rejected.

Does part-time experience count for GCC licensing?

Usually yes, pro rata, if the certificate states hours per week. Work below about 20 hours per week is often discounted.

What if my previous hospital has closed?

Obtain confirmation from the successor institution or health ministry, or support the period with payslips and a statutory declaration. If you still meet the requirement without that period, omit it.
